AI Meeting Assistants in 2026 Shift From Notes to Follow-Through
Transcripts are no longer enough
AI meeting assistants have changed what they compete on. For several years, buyers judged these tools on how accurate their transcripts were and how readable their summaries were. In late 2026, the buyer guides keep raising a different question: once the notes exist, does the software actually do anything with them? One hands-on review of eight note takers puts it bluntly. Most tools still stop at transcription and summaries, and the reviewers argue the best product is the one that turns notes into action1. The same idea runs through many other 2026 roundups, which now spend as much time on CRM sync, automatic follow-up emails, task creation and agent access as on word error rates172326.
Our reading is that summaries have become a commodity. Nearly every product in this category now extracts action items. One reviewer calls AI-generated action points "table stakes"24. The real competition has moved to what happens after the call, and to the large platform vendors that now give much of this capability away.
The independents: three different bets
Across the many rankings, the same small group of independent tools keeps appearing, and reviewers mostly agree on what each one is for.
Fireflies.ai is the pick most often linked to automation. One review ranks it best for task automation and says it is built around the work that follows a call, not around capturing data21. Its CRM connections to Salesforce, HubSpot and Pipedrive, plus Zapier triggers that start tasks based on what was said in a meeting, make it a favorite for sales and operations teams7. One roundup published this week names it best overall. It points to transcription in more than 100 languages, the AskFred assistant for questions about past meetings, and paid tiers that add a task manager for action items29. Fireflies has also moved toward research tools: in early 2026 it added "Talk to Fireflies," which uses Perplexity AI to answer web-search questions during a meeting8.
Granola made the opposite bet. It captures audio on the user's device without sending a bot into the call, then improves the notes the user types9. One tester who spent 90 days with 14 tools called Granola's summaries the best in the category, describing them as reading like notes a competent person took6. Even its supporters say it does little after the call. One guide recommends it for low-friction capture but not for follow-up-heavy work2. Another lists no post-meeting automation at all1. Reviewers also disagree on how private it is. Some say it captures locally and keeps clients unaware1. Another notes that its transcription and AI processing still run through external cloud providers and that notes are stored in the cloud4. Buyers who choose Granola mainly for privacy should keep that distinction in mind.
Otter.ai is still the best-known name. It is generally positioned for live transcription and shared team archives729. It has been adding live help: Live Assist tip cards started on Enterprise, and on October 27, 2026 the company said the feature would roll out to all paid plans over the following weeks4. TechTarget highlights My Action Items, which collects tasks from a user's meetings across any meeting app28. Two reviews also point readers to a class-action lawsuit over Otter's consent practices68. That is a reminder that bots joining calls carry legal risk as well as awkwardness.
Fathom remains the usual answer for anyone who wants a free option, thanks to unlimited recording and transcription on its free plan2229. Its follow-up features are lighter. One comparison says follow-up emails take more manual work than in Fellow or Fireflies, though its action lists arrive within minutes23.
The platforms are absorbing the category
The biggest change in 2026 is not among the startups. Zoom, Microsoft and Google have built meeting AI into suites that companies already pay for, and they are moving outside their own walls.
One account describes a single week in April 2026. Zoom released AI Companion 3.0 and made it work across platforms. Google said its "Take Notes for Me" feature had reached 110 million monthly Meet attendees and would run inside Zoom, Teams and in-person rooms. Microsoft confirmed a higher standard price for 365 Copilot11. Zoom's My Notes now captures Teams, Google Meet and in-person conversations20. A May 2026 update added agentic search across ten connectors, including Salesforce, Workday and ServiceNow20. Usage figures back this up. Zoom reported 184% year-over-year growth in AI Companion paid users and 1.5 million licensed My Notes users within four months14.
Pricing is where the platforms differ most, and where the reporting is least consistent. Zoom includes its core AI features in paid Workplace plans19. Several reviews list Microsoft Copilot at $30 per user per month on top of Microsoft 3651217. Another describes an $18 Business price that ran through June 30, 2026, rising to $21 on July 1, with Enterprise at $3011. Fellow's comparison lists both the $30 Enterprise figure and the $21 Copilot Business list price18. Our reconciliation is that $21 applies to the business tier and $30 to enterprise. Buyers should check which SKU a quote refers to. Zoom's branding is also changing. One recent guide reports that in June 2026 Zoom folded AI Companion's features into Workplace under their functional names and launched an agentic add-on, ZoomMate, at $16.67 per user per month billed annually17. Many other guides still use the AI Companion name.
When it comes to turning meetings into tasks, one comparison gives Copilot an edge because it automatically creates Planner tasks. Zoom creates tasks within its own Workplace, while Gemini pushes follow-up manually into Docs16. A head-to-head test reported that Copilot captured 92% of explicit commitments, against 88% for Zoom, with fewer false positives12. That test was small, covering 25 ambiguous discussions, so it is an indication, not a benchmark. Microsoft's own documentation, as cited by Fellow, says Copilot answers only from the meeting transcript18. That limits how much it can be called a cross-meeting research copilot inside Teams.
From assistants to agents and research copilots
The move toward agents is now visible in the products. One field guide argues that the first generation of Otter, Fireflies and early Zoom Companion were assistants that listened and emailed notes. It says the April 2026 releases, including Zoom's custom agents that users can @-mention in a call, operate at a higher level of autonomy13. Microsoft added agentic workflows to Teams Copilot, and Google rolled out custom Gems for Workspace13.
The less noticed sign is the Model Context Protocol. One 2026 comparison table lists MCP servers or similar agent access for Granola, Otter, Fireflies, Fathom, Read AI, Krisp and Zoom17. In practice, that means meeting archives are becoming data sources for general-purpose AI assistants like Claude, ChatGPT and Cursor, not just standalone apps17. Granola's built-in research agent, which looks for patterns and gaps across past sessions, points the same way7. Meeting history is being treated as a knowledge base to question, not a pile of transcripts. We think this matters more than any single feature. Whoever controls the meeting record will feed the next layer of AI writing and research tools.
Read the rankings carefully
One point applies to almost all of this coverage: many of the most detailed buyer guides are written by companies that sell meeting tools. Fellow ranks Fellow highly18. Cirrus Insight puts itself first24. Reclaim names itself best overall26. Hedy, Sentra, Lindy, alfred_ and Simular all position their own products as the answer to the follow-through gap417281. Their comparison tables are often useful, but the headline rankings are marketing. The consensus that does hold up comes from reviewers with less at stake: Fireflies for automation and CRM work, Granola for discreet personal notes, Otter for live transcription, Fathom for free use, and the built-in assistants for companies standardized on one suite222918.
Market-size estimates show the same uncertainty. Precedence Research puts the 2026 market at $1.42 billion, while Grand View Research, using a broader definition, puts it at $4.31 billion14.
The bottom line
For most organizations, the practical choice in 2026 is not "which note taker" but "how much do we need beyond our suite." A company that meets mostly on Zoom or Teams already gets summaries and action items, and increasingly cross-platform capture, from software it pays for1920. Independent tools justify their cost when they do things the suites do not: deep CRM write-back, bot-free personal capture, or an archive that can be searched across every platform and plugged into other AI tools717. Products that still stop at the summary are competing against features the big platforms now include for free.
